Getting Started
What do I need to do in my first days at IMSS?+
Class allocations are provided in the week before school commences. Term 1 begins with two School Development Days.
- Email your School Contact(s) after receiving your allocation to introduce yourself and negotiate lesson times
- School Contact names are in the Teacher Class Allocation Excel spreadsheet
- Pay Staff Amenities fee: $10 cash only to the Accounts Admin Assistant
- Collect your magnetic name badge from IMSS when notified it's ready

What must I do every time I visit a school?+
- Wear your name badge — proves legitimate business on school premises
- Sign in at the Front Office — administrative requirement
- Carry your WWCC card — most schools will take a copy on your first visit

Can I do outside paid work (studio teaching, gigs)?+
Yes, but approval is required first — private school teaching, studio teaching, casual gigs, business activities, SMSFs and family trusts. Required under Section 102 of the Public Sector Management Act 1994 (WA). Apply through Ikon.
How do I get to know the IMSS team?+
The handbook includes a Who's Who at IMSS section covering Senior Management and the Allied Professional Team. The Allied Professional Team is actively involved in induction processes — connect with your mentoring team and LAC who can introduce you to key contacts.

Where is the IMSS Service Agreement?+

This clarifies what IMSS and schools are each responsible for. If a school asks you to do something outside your capacity or role, direct them to contact IMSS — we will support you. IMSS plans to also publish this on Ikon with section-by-section breakdowns.

Timetable
When and how do I submit my timetable?+
Submit by end of Week 4, Term 1 to IM.SS.HR@education.wa.edu.au. Leave a courtesy copy at each school. Include travel details with your submission.
⚠️ Only allocated classes may be timetabled. Notify your AP immediately of any discrepancies.

Permanent changes: Submit a new timetable to HR inbox and all schools.
Significant temporary changes (camps, development days): Use the Temporary Change of Timetable form in Connect → Administration Documents → Timetables, Travel & Calendar. Email to HR inbox ASAP.
Small temporary changes (assemblies): Ensure schools agree in advance. No submission needed. Confirm in writing via email.

Leave & Absence
Short-Term Absence (up to one week) — full step-by-step process+
📋 Covers absences up to one week of your normally rostered working days.
Step 1 — Find relief: Consult the list at imssdata.com. Text all teachers in your instrumental group with the day(s) needed.Step 2 — No one available? Text all relief teachers marked "MULTI".
Step 3 — Confirm relief: Email your timetable and instructions to the confirmed relief teacher.
Step 4 — Can't engage relief (or too ill)? Call or text your AP (before 9:00pm or after 6:30am):

- Acceptable: Medical Certificates, Pharmacy certificates, appointment confirmations

Step 8 — Enter leave in HRMIS within 48 hours (via Ikon). Include relief teacher name (or "No relief") in comments. Duration errors? Email IM.SS.HR@ with an up-to-date timetable.
Long-Term Absence (more than one week) — full step-by-step process+

Step 5 — Prepare handover notes (email to relief teacher and line manager) covering: assessments/reporting, performance obligations, school contact details, online platforms, parking, keys, Ensemble Duty of Care plans.
Step 6 — Inform schools of relief arrangements and any timetable changes.
Step 7 — Evidence: Same rules as short-term (above). Submit to IM.SS.HR@ at time of applying.
Step 8 — Enter leave into HRMIS via Ikon.

Is the Leave Mobile for day-of absences only, or planned leave too?+
The Leave Mobile (0475 265 082) is for day-of absences only.
For planned and extended absences, email your AP and LAC directly — refer to the Long-Term Absence process. Your relief teacher has their own instructions for contacting IMSS and should not be contacting you on your day off.

⚠️ Do not use the leave mobile for planned absences — use it only when you're unable to come in that day.
Why do I need to notify schools when I'm sick? Can IMSS do it?+
Schools must be notified for Duty of Care reasons — especially for Period 0 or out-of-hours lessons. IMSS can receive 10+ emergency leave notifications in a single morning, making it impractical to call every school on behalf of every teacher.
However, if you are too unwell or there is an emergency, let IMSS know in your leave mobile text that you have been unable to notify schools. IMSS will assist where possible.

When can I stop trying to find relief if I'm seriously unwell?+
If you are too ill or incapacitated to arrange relief, go straight to Step 4: contact your Associate Principal directly by call or text. They will take it from there. Your wellbeing comes first.
What if I can't attend the Monday staff meeting?+
Monday afternoon meetings (1:00pm–3:30pm) are a scheduled work activity. Non-attendance without approval = leave without pay. If unable to attend due to illness: notify your LAC, text the leave mobile, enter leave in HRMIS, and check with your LAC for missed information.

Your Teachers Award and Agreement is on Ikon. For specific queries: IM.SS.HR@education.wa.edu.au or your LAC.

Instruments
Who do I contact for instrument enquiries?+
Email IM.SS.Instruments@education.wa.edu.au for: stock lists, extended loans, instrument transfer/request/repair-return forms, and accessories. Check allocations via MILS on Ikon.
Can I transfer instruments through MILS myself?+
Not currently — transfers involve steps that must be completed by the Admin team. Continue to submit Instrument Transfer Forms to IM.SS.Instruments@education.wa.edu.au.
Who is responsible for instrument loan agreements?+
Per the IMSS Service Agreement, schools are responsible for managing and tracking loan instruments. If a school asks you to do something outside your capacity, direct them to contact IMSS — we will support you.

What are the MILS processes at start and end of year?+
IMSS Allied Professionals present on these processes at SDDs 1/2 and 5.
- End of year: Discuss instrument return with schools — don't just tell students to take instruments home over holidays. Schools are responsible for instruments.
- Start of year: Check that instruments listed on MILS are physically at the school.
How do I request instrument accessories or new repertoire?+

How do I borrow music from the IMSS Resource Centre?+
Register with the Library Technician (Jamie Maginnis). Loans: standard 8 weeks, festival items up to 7 days. A new digital catalogue for searching and requesting items digitally is coming soon.

Communication & Platforms
What is the correct process for contacting IMSS leadership?+
IMSS is open Mon–Fri 8:00am–4:00pm. Follow the line management structure:
- Email your LAC first
- LAC will refer you to the AP if needed
- AP will schedule time with the Principal if required
💡 Senior Leadership Team is available Monday afternoons and all-day Friday.
How does IMSS communicate important information?+
- Friday Bulletin (Connect) — all operational updates. Staff must read this.
- Connect Notices — time-sensitive notifications
- SIM News — published each term
- Email — check at least twice weekly
Why are there so many different email addresses?+
IMSS is a large, multi-faceted organisation. Shared mailboxes ensure: redundancy (if one staff member is away, others can action your request), business continuity, oversight (anyone can check the status of a request), and future-proofing for staff changeover or growth. If you email an individual who is unexpectedly on leave, your message may be unseen for days. Shared mailboxes prevent this.
Which platform should I use for students and parents?+
Connect is the recommended DoE platform. For high schools, check with the Head of Music about which platform is used.

Are forms on Ikon different to Connect?+
Only a few forms are currently on Ikon. IMSS plans to move all forms there so they're always live and up-to-date. Any Ikon forms will be linked from Connect — always check Connect first and follow any Ikon links to access the most current version of a form.
How do I set up my IMSS email signature?+
Follow the template in: Connect Library → Administration Documents → IMSS Information (email signature Word document template).
Travel Claims
How and when do I submit my travel claim?+
- Submit at end of each month — do not let claims accumulate
- Email to your Learning Area Coordinator
- Submit in the first week of each month to ensure timely processing

How do I access my payslip?+
Payslips are not printed on site. Access via HRMIS on Ikon. For pay or appointment queries: IM.SS.HR@education.wa.edu.au
How do I get paid for completing relief work?+
After completing relief (not part of a fixed-term contract), email IM.SS.HR@education.wa.edu.au with:
- Date of relief
- Name of teacher you relieved
- Start and finish time

What is the online census?+
IMSS requires teachers to complete an online census throughout the year. In Term 1 you confirm classes, student numbers and names. This information is vital — keep it accurate and current. Access via IMSS Data or the Links section of IMSS Connect Community.
How do I apply for professional learning funding?+
There is a $300 per person allocation for professional learning. Contact your Line Manager with your specific request and rationale. Leadership also identifies workshops for staff outside of SDDs and General Staff Meetings. For formal applications, contact HR.
What staff benefits are available through Ikon?+
- Optical Aids Subsidy — claim for prescription glasses or contact lenses (check eligibility on Ikon)
- Microsoft 365 — eligible staff can download Word, Excel, PowerPoint, Outlook on personal devices via Ikon
Conduct & Policy
What are the professional conduct and dress expectations?+
IMSS teachers are DoE employees and must model high standards of personal and ethical behaviour, in line with the DoE Staff Conduct policy. Dress must be appropriate for teaching, moving equipment, performances and rehearsals.
💡 When in doubt, be conservative. If unsure, ask your line manager.
Do I need approval for camps, concerts or interstate tours?+
Yes. A written request (preferably from the school) is required — stating purpose, dates and impact on teaching. Do not assume automatic approval.
For interstate/overseas travel, application must be made to the Director-General or Minister. School tours are managed by the school, but IMSS must be informed and approve arrangements.
